The Bacon Bap Men!

This will be the third year I have supported the walk through providing the bacon baps, veggie alternatives and refreshments for the walkers on their return to Reaseheath.

 

This year I will have Steven Holmes helping to organize the refreshments for the event, he has recently joined the Hospice in post as Assistant Facilities Manager.

The organization of the refreshments takes the following format of conversations and meetings:

 

Phil: So Steven one of our main fundraising events each year is the Midnight Walk held in June.

 

Steven: What part do we play in organizing it?

 

Phil: We have the pleasure of producing 1750 bacon baps and refreshments.  Well, not ALL bacon - we do have some vegetarians in that figure where we provide a suitable alternative.

 

Steven: That some bacon baps and tea required then, do we have help?

 

Phil: We get fantastic support from very willing volunteers. We get very lively ladies who make the whole experience enjoyable from start to finish, and their stamina is commendable.

 

Steven: Sounds great when do we start working on it?

 

Phil: Well, we meet with the fundraising team to discuss final numbers in May then get all the ordering completed. We order all the equipment needed to set up the event.

 

Steven: Straightforward enough so far.

 

Phil: That’s just the mundane bit to start with.  Once we have all that in place the fundraisers hold a site meeting at Reaseheath with all the volunteers.  We attend this and meet our willing bunch of ladies and gents and talk through the evening with them, emphasizing they should bring warm clothing and so on as it is a long night and can get really chilly.

 

Steven: So after that then it’s the night itself?

 

Phil: Yes that’s all the pre organization until the day itself.  We start about 0900hrs on the Saturday,  getting all the equipment and rations together. Then we take it all to Reaseheath and start to organize the set up. We have a couple of hours break then at approximately 1700hrs the volunteers start to arrive.  We give them a health and safety brief then set them to work. Our first lot of bacon baps go to the volunteers and police who man the stations along the walk. After they have been fed and watered, the walkers start to arrive and we offer a hot drink whilst they wait for registration.

 

By this time the atmosphere starts buzzing and there is an air of excitement around the field. The ladies have their warm up session (I like to join in with this) before setting off.

 

We provide refreshments for the volunteers, then prepare for the walkers return at approximately 0400hrs Sunday morning. All through the night Cheshire FM keeps us up to date with the ladies’ progress. We become really busy serving refreshments until the last lady is served then we clean up the area, pack all the items away and we then take ourselves home to bed at approximately 0900hrs Sunday morning, satisfied we have done our bit to support all those ladies doing the walk.    

 

Steven: Is that it then?

Phil: Oh yes - but only till next year……………………………………..and that’s another story!

Registration Volunteers

Good morning, walkers!Today I bring you a bit from Di Eeley, who is in charge of the volunteers who will be working on Registration at Reaseheath and Bannatyne’s.

The organisation of Registration for this year’s walk is already under way….

 

We are in the process of identifying volunteers willing to help with the registration process….

 

We need a team of 40+ volunteers who will be registering walkers, adding up pledges on sponsor forms, dealing with queries, recording medical conditions, handing out bananas, chocolate bars and water to walkers at the half way point, and de-registering walkers at the end of the race….

 

We will keep the volunteers plied with hot drinks and bacon sandwiches throughout the night, and of course chocolate as and when required!

Our Registration volunteers are extremely important. They help us to keep track of our many walkers on the night and this helps us ensure your safety.

They do a fantastic job.

Guide for Registering Walkers

Hello and Welcome to March!

The days are getting longer, the weather is getting warmer (if you ignore the frost on the car this morning!) and spring is surely on its way!

Registration forms for the Midnight Walk are coming in faster this year than they ever have before - we were up to 752 by the end of February.   With this in mind, I decided to hand over to Nicola this week - she is the SuperWoman who turns Registration Rorms into Registered Walkers with Sponsor Forms.

Guide to Registering Walkers

 

  1. Check form for signature and phone number. Check walker on database to see that there are no issues from previous walks. Allocate next number and record on top right of form. Also note walker number on back of cheque. (Have a biscuit.)

 

  1. Photocopy the form and cheque. Keep the cheque with the photocopy and use the original for database input. If they have indicated that they would like a JustGiving page set up, do another copy and pass to Jo. Also check on back of form to see if any volunteer details, if so, again photocopy and pass to Jane.  (The biscuits are dry. Make a cup of tea.)

 

  1. Cheques should be entered onto a banking sheet (in brown walk file). Totals should be noted and photocopy of forms and all monies passed to accounts for banking. These eventually come back to me for the gift input. (This is hungry work. Have another biscuit. They’re small.)

 

  1. Now enter all walkers into database, enter walk details under attributes, activities, midnight walk 09. Also enter employer if it is on and any vegetarians also go on as an activity. (Got to keep your strength up. Have ANOTHER biscuit.)

 

  1. When all done for the day, go to Query, Midnight Walk folder and select Daily Walk List 2009. Do a label run from this query. Also do a globally add for an email letting them know they are in and collect pack if required from 23rd Feb. (If doing after this date just move date on by a week or so). (Make another cup of tea and get another bisc…..oh. The biscuit tin is empty….how did that happen?)

 

  1. Using the above query, export it to Excel to complete a sheet for use as a tick sheet for the volunteers putting the packs together. Previous ones are saved under admin, nicola, fundraising, midnight walk 09. (Notice clothing is getting tight. Look at empty biscuit tin. Pick up telephone and book self into yoga class.)

 

  1. Then a sponsor form will need to be done for every walker. Go to Admin, Jane, Events, Midnight walk, walk 09, sponsor form. Remember to file and save for each one then it records the number on the bottom.

 

  1. REPEAT 1749 TIMES

 

Okay, we don’t REALLY eat that many biscuits….we can’t - we’re all doing a sponsored slim!

As you can see it is a huge job to get all of you registered and ‘official’ and Nicola does a fantastic job!

Top Ten Tips from JustGiving!

When it comes to raising money through sponsorship, nothing makes it easier than Just Giving.

Raising sonsorship through JG has many advantages for both St Luke’s Hospice (we get the money in sooner) and for the wonderful women taking part in our walk (no traipsing around tracking down supporters to collect sponsorship money).

The folks at JustGiving put togther a presentation outlining ways to maximise sponsorship; while they were originally created for the London Marathon, all of the tips work just as well for other sponsored events.

So - some tips from the Experts!

1.    Think about your personal message – turn it into a story.
2.    Put a video and extra photos on your page. Keep it up to date so people come back and send it to their friends.
3.    Talk to your charity. Find out how your money will help them so you can tell your supporters.
4.    Email people in groups and personalise your message. Get generous donations on your page first. Send the email around pay day!
5.    Put your page address in your email signature. Use a donate badge.
6.    Promote your page with social media tools like Facebook, Flickr and Twitter.
7.    Give out your page address on cards - eg Moo minicards.
8.    Get your page featured in the local press. Send a press release to your local paper and radio station - include your page address.
9.    Send fun reminder emails asking people to donate. Update your page and keep fundraising after the event.
10.    Thank people - on your page, in an email, with a card, on your blog, Facebook or Twitter – make them feel good for supporting you!

Well who’s got their pack????

Hello Walkers!

The Midnight Walk guru, Jane Thompson, is busy rushing around getting things ordered and sorted, but she stopped long enough to write her first ever blog post!

Over to you, now, Jane!

    Hi All

Well who’s got their pack???? They are going out daily now. Some are coming by post and some will be arriving by Courier (AOCC of Middlewich are kindly doing this free of charge). Those of you who have elected to collect the tee-shirts from the Hospice can do so any time now between 9am-5pm Monday to Friday.

Do you like the colour of our tee-shirt? Give us your feedback.

Have you got round to setting up Justgiving yet? Kate Denney had her site set up before she even got her pack and she is already half way to her personal target of £500…..WOW!

I am really looking forward to lots of chat on Facebook. It feels good to be part of a team, and we are going to be one heck of a big team!! So please bombard your fellow team members with your questions, thoughts and observations.

Hello walkers!

Hello and welcome to the Midnight Walker blog!

Many of you will have taken part in previous Midnight Walks, while some of you will be getting involved for the very first time.

Over the coming weeks you will get to meet several of the people who help to make the Midnight Walk the amazing event that it is.

In no particular order, you will be meeting:

  • those who oversee the entire event, i.e. ordering T-shirts, performers, determining the route, etc.
  • those who are charged with recruiting and organising the army of volunteers on the night
  • those who arrange for the fantastic bacon butties and endless cups of tea on the night
  • people who have walked in previous years
  • people who have volunteered in the past
